As discussed in our previous article about GDS Systems - The Complete Guide for Hotels, independent hotels can’t connect directly to GDS systems. However, if they want to tap into the B2B Distribution landscape, they need to use a GDS Connectivity Provider.
Why Connect your Hotel to a Global Distribution System?
If managed properly, a GDS should provide additional revenue that the hotel cannot receive in any other way. If a travel agent logs into GDS to make a booking and your hotel is not there, then they won’t look for another way to book your hotel. Instead, they will stay in the GDS and book a different hotel. This is because of the commission or the negotiated rate agreement that would be set up and available on the GDS only. Properly managed GDS revenue should deliver reservations that are cheaper than OTA bookings and that do not diminish the hotel’s direct booking business. It’s clear that if you’re not connected to a GDS, you’re likely missing out on valuable revenue that cannot be obtained in any other way.
How to Choose the Best GDS Connectivity Provider for your Hotel?
Global Distribution Systems have been around for decades and have a humongous user base consisting primarily of TMCs. Therefore, using a GDS can be a great way to expand your hotel’s distribution and marketing strategy.
While there is no correct answer to the question ‘Which GDS is better than the rest?’, this article will help you choose the one that is best for your hotel. Ideally, hotels should be able to manage GDS like any other channel, simply by connecting it to the hotel’s Channel Manager.
On the hotel side of GDS, we are looking for simplicity and efficiency. In practice when a hotel is working with a good GDS provider, the GDS extranet should be connected to the hotel channel manager tool, and can be treated like any other online revenue channel.
In addition to this, hotels can and should receive inquiries from corporations about special pricing based on larger volumes of bookings. Those are called RFPs and can be managed by the GDS provider or the hotel directly or jointly by both sides working as partners.
An important option for hotels present on GDS is the ability to offer additional commission to travel agents making bookings. Most of the hotels do that with BAR bookings, but if there are special rates agreed upon for certain companies, the bookings are usually non-commissionable.
RFP Management can be a separate thing, managed usually by the hotel’s sales team. Agreed rates can be simply updated once a year in the channel manager or in the GDS CRS directly. What is unique though is the fact that hotels can offer additional commission to travel agents making bookings as a form of an incentive. This can be visible on the agency side of GDS, and travel agents can choose hotels based on their location, pricing, and commission offered.

How to Choose the Right Global Distribution System (GDS) Connectivity Provider?
Simply put, hotels should be present on all GDS simultaneously to access all travel agents. This is mainly because travel agencies use only one of the available GDSs. If the hotel wants to be visible to all travel agents around the world, then presence on all GDS systems simultaneously would be advised.
Additionally, Corporate RLS (rate loading instructions) usually include a mix of different agencies using different GDSs. This means that hotels might be required to register with a particular GDS as a condition to work with a particular company or a TMC (Travel Management Company), see The Big Players of B2B Hotel Distribution.
When working with a good GDS provider, hotels should be able to connect to a Channel Manager and receive maintenance-free bookings. Rate Parity is key, and special corporate rates (coming mainly from corporate RFPs) should be managed by your ‘good’ GDS provider efficiently.
Hotels should look at the main eight items listed below and review the best GDS provider list for their hotels. Not all GDS companies provide the same type of GDS service in all locations, so what can work well in one of the major cities in the USA may not be able to bring the same result in the EU and the other way around.
What to look for in your Global Distribution System (GDS) Connectivity Provider
You’re looking for:
- Full and seamless control over rates and availability is displayed on the GDS.
- Ability to work with the chosen GDS provider on generating new sales.
- Control over GDS content and images.
- Ability to review GDS presence and hotel comp set presence.
- Reporting and statistics.
- GDS intelligence, travel agency, TMC, consortia information.
- Technical integrations with channel managers and PMS.
- Prompt and efficient support and/or training resources.
- The total average cost of booking acquisition, including all set and RFP Management related fees.
